Manually Crediting Affiliates

An affiliate will only receive commission credit if there’s an actual payment (transaction) in the system for that purchase. If a user has been marked as “PAID” without a transaction (e.g., for a free product or manual override), the affiliate will not receive commissions since no payment was recorded.

Follow these steps to manually credit an affiliate for a sign-up or purchase:

1) Add Transaction if None Exists

If the user has been marked as “FREE” or “PAID” without an associated payment, you need to enter a transaction into the system:

  • Navigate to Members > Manage.
  • Search for the user by email.
  • In the user’s row for the relevant product, click on the “$” symbol under “Operations”.

2) Add Transaction Amount

When you click on the $ symbol, a pop-up will appear allowing you to manually enter the transaction details:

  • Enter the Order Amount (e.g., if the purchase was for $97, enter “97” or “97.00”).
  • Click Submit to save the transaction.

3) Verify Order ID

After entering the transaction, the Trans Id (Transaction ID) column will change from “PAID” to an actual transaction ID number.

4) Assign Affiliate Credit Manually

Now that a transaction exists, you can manually assign affiliate credit:

  • In the same user row, scroll to the Aff Id (Affiliate ID) column.
  • If a number is already shown in this column, an affiliate has already been credited for this purchase, and you cannot change it.
  • If a + (plus sign) is shown, it means no affiliate has been credited yet. Click the + to assign an affiliate.
  • A pop-up will appear allowing you to enter the Affiliate ID. This is the unique User ID of the affiliate to whom you want to assign the commission.

5) Verify Manual Credit

Once you enter the affiliate’s User ID, the + sign will change to that affiliate’s ID (e.g., 5). This means affiliate #5 has been credited for the purchase.

  • If affiliate commissions have been set up for this product (under Affiliates > Set Commissions), the commission will be credited to the affiliate’s account when the next hourly cron job runs.

⚠️ WARNING: Double Transactions

Be cautious when entering manual transactions. Sometimes, DAP may process an automated transaction for the same purchase while you’re manually entering one. This can lead to:

  • Duplicate transactions: There could be two entries for the same purchase, which could affect your accounting.
  • Double commissions: Affiliates might receive commissions twice for the same purchase, as DAP calculates commissions based on recorded sales.

Handling Duplicate Transactions

If you notice two commission credits for the same purchase (one from the automated transaction and one from your manual entry), follow these steps:

  • Refund the manual transaction in DAP. This will prevent double payments.
  • Before processing the refund, note the user’s current access (since the refund might adjust their access).
  • After processing the refund, manually adjust the user’s access in Users > Manage to ensure it remains accurate after the refund.

By following these steps and being mindful of potential duplicates, you can effectively manage affiliate commissions for manual transactions.
